We seek a detail-oriented and experienced Accounts Payable Specialist to join our Business Services team. This position is vital to the College’s financial operations and offers an opportunity for a professional with strong organizational skills and a passion for higher education or nonprofit environments.
Position Overview
The Accounts Payable Specialist ensures the accurate and timely processing of invoices, payments, and financial records. This role manages institutional credit cards, compliance with unclaimed property regulations, vendor relationships, and year-end reporting. You’ll collaborate with departments across the College, contributing to its financial integrity and excellent customer service culture.
Key Responsibilities
- Manage the accounts payable cycle, including purchase orders, invoices, and vendor payments.
- Serve as the primary liaison for vendor communications, resolving discrepancies, and maintaining relationships.
- Administer institutional credit cards, ensuring proper documentation and expense reporting.
- Maintain compliance with unclaimed property regulations, tracking and submitting required documentation.
- Process credit applications and ensure proper institutional credit activity documentation.
- Oversee non-resident alien tax compliance, including ITIN and W-9 documentation.
- Prepare and file financial reports, such as sales tax filings and year-end forms (e.g., 1099, 1042).
- Reconcile accounts and maintain accurate financial records.
- Provide exceptional customer service to faculty, staff, and external partners.
- Contribute to process improvements and special projects to enhance the Business Office’s efficiency.
What We’re Looking For
- A bachelor’s degree in accounting, business, or a related field, or equivalent experience.
- 5–8 years of accounts payable or financial experience, preferably in higher education or nonprofit settings.
- Proven expertise in managing financial documentation and vendor relationships.
- Proficiency in accounting software, Microsoft Oce, and Google Suite.
- Knowledge of tax reporting requirements and compliance regulations.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
- Exceptional problem-solving and communication skills.
